Digitalization in practice: protocols and checklists via app

In many industries and areas, protocols and checklists are part of everyday work. Digitizing these lists is worthwhile for companies in many cases.

Digital solutions for this area of application are by no means only a good solution and affordable for large corporations. Smaller companies also benefit immediately from the time and cost savings. Individual software development is particularly recommended for these applications. The individual mobile solution for a tablet or smartphone can be created with comparatively little effort and the result corresponds to the specific processes and work steps in the company.

App solution for digital logging for the company Koll

Cap3 is currently developing such a solution for the Rendsburg-based company Koll Kälte-Klima-Lüftung GmbH & Co.KG. Koll's area of activity includes consulting, planning and sale of air conditioning and ventilation systems, refrigeration systems, cold rooms and special systems for medical, process and bakery technology.

The tablet app for fitters

The application consists of a tablet app and a web application for administration. In future, fitters will log maintenance work very efficiently and easily via the tablet app. The app also works offline, as soon as there is network reception, data transmission is automatic. The fitters see the orders assigned to them and the status of each order. Customer data and the data on the customer's systems are recorded for the orders. Depending on the category, different protocol templates are stored. Photographs can be uploaded directly to a log.

Management via administration

Using an administration (cloud solution), which can be easily accessed with an Internet browser, customer and investment master data is recorded and new orders are created, given a due date and assigned to an employee. The documentation of field service technicians is immediately available and can be evaluated via the administration. The maintenance reports, including photos, can be exported as a PDF. All digitization costs for manual lists are eliminated. Work processes are greatly simplified. Data on customers and installed systems is quickly available in the office and also for employees in the field, and the quality of logging during technical and safety-relevant analyses is increased.

Apps also possible for existing administration systems

Similar apps can be used in logistics, construction, building management, housekeeping in hotels or anywhere in industry where machines are inspected and maintained or quality control is carried out. Data collected via the apps can of course also be transferred to existing administration systems. It is not absolutely necessary to develop a new browser-based management system. Appropriate data interfaces can be developed for most existing applications.
